About The Role

We are seeking a hands-on HubSpot CRM Manager to take full ownership of our HubSpot implementation and keep it fit for purpose, well-maintained, and continuously improving. This is a doer's role: you will be in the platform every day, configuring it, keeping the data clean, training our people, and making sure HubSpot delivers as a genuine commercial tool rather than running quietly in the background.

Reporting directly to the CEO, this is a critical hire. We need someone who combines strong HubSpot administration with a talent for training and adoption. You will own the upkeep of the instance, drive disciplined data quality, and bring forward new features and automation that move the business forward. This is an individual contributor role with no direct reports; your impact comes through the platform itself and the people you enable to use it well.

The right person is technically strong in HubSpot, a natural trainer and communicator, meticulous about data, and energized by continuous improvement. You will be expected to demonstrate clear, measurable outcomes: clean and reliable data, high and consistent adoption across sales and marketing, and a platform that keeps pace with the business. This role is based in one of our key international offices (Cluj-Napoca, Cairo, or Guatemala City) and works closely with our US sales leadership.

Key Responsibilities

HubSpot Platform Management and Upkeep

  • Own the configuration, maintenance, and day-to-day administration of HubSpot, keeping the instance fit for purpose at all times.
  • Build and optimize workflows, sequences, pipelines, deal stages, and lead scoring models, implementing the qualification criteria defined by sales and marketing.
  • Manage user setup, permissions, and access controls across the platform.
  • Manage integrations between HubSpot and connected systems including LinkedIn Sales Navigator, Outlook, the website, and marketing tools.
  • Follow disciplined change management: test changes in a sandbox before deployment, document configuration changes, and roll out updates in a controlled way to avoid disruption to live pipelines.
  • Own the HubSpot vendor relationship, including seat and tier management, the annual renewal, and the day-to-day account contact.
  • Manage marketplace apps and connected tooling, including associated licensing and spend.
  • Act as the single point of escalation for HubSpot questions and issues, resolving any misalignment between platform configuration and how teams work.
  • Gather user feedback and continuously refine the HubSpot experience.

Innovation and Continuous Improvement

  • Stay current with HubSpot product updates and new feature releases, evaluating their relevance and making the case for adoption.
  • Identify opportunities to simplify and automate sales and marketing processes through HubSpot.
  • Lead adoption of HubSpot AI capabilities, including Breeze, prospecting agents, and target accounts functionality, to improve prospecting, lead qualification, reporting, and productivity.
  • Develop and maintain a HubSpot roadmap, prioritizing enhancements alongside sales and marketing leadership.

Training and Adoption

  • Design and deliver a structured HubSpot training program for sales and marketing users, covering platform use, outreach workflows, prospecting tools, and data compliance obligations.
  • Ensure HubSpot is genuinely embedded in the daily routines of all users and drive measurable, sustained adoption.
  • Create and maintain SOPs, user guides, and e-learning materials to support onboarding of new hires and ongoing best practice.
  • Act as the internal subject matter expert for HubSpot, supporting users across sales and marketing in getting the most from the platform.

Data Quality and Governance

  • Keep the HubSpot database clean through regular audits, deduplication, and field-level quality checks across contact, company, and deal records.
  • Own and enforce CRM governance standards covering record quality, lifecycle stages, naming conventions, required fields, and duplicate management.
  • Oversee list segmentation and import/export processes.
  • Support the company's ISO 27001 controls within HubSpot: run periodic user access reviews, ensure timely deprovisioning of leavers (joiner, mover, leaver), and assist with audits.
  • Implement and operate data-protection controls within HubSpot, including consent, data retention, and data handling, and support data subject requests, under the direction of the company's data protection and compliance owners.

Reporting and Visibility

  • Build and maintain dashboards and custom reports that give leadership real-time visibility into pipeline health, sales activity, and HubSpot usage.
  • Track and report on key KPIs including conversion rates, forecast accuracy, and platform adoption metrics.
  • Maintain campaign tracking and attribution reporting so marketing can measure source performance and lead handoff to sales.
  • Support forecasting by building and maintaining the deal-stage structure, validation rules, and pipeline hygiene reports that help sales management keep data accurate.

Qualifications Required

  • Bachelor's degree in Business, Information Systems, Marketing, or a related field.
  • 3+ years of hands-on HubSpot administration experience across the CRM and Sales Hub.
  • HubSpot CRM Certification.
  • Demonstrable experience building workflows, sequences, pipelines, and dashboards in HubSpot.
  • Proven ability to train non-technical users and drive genuine, lasting platform adoption.
  • Strong communication skills, with the ability to engage both technical and non-technical stakeholders.
  • High attention to detail and a disciplined approach to data quality and compliance.
  • Comfortable working across time zones with a US-based leadership team.

Preferred

  • Familiarity with HubSpot AI tools including Breeze, prospecting agent, and target accounts functionality.
  • Experience with HubSpot Operations Hub and third-party integrations (e.g., LinkedIn Sales Navigator, Zapier).
  • HubSpot Sales Hub Certification.
  • Exposure to supporting sales and marketing teams in a B2B environment.
  • Experience in language services, professional services, or a fast-growing international business.
  • Formal understanding of GDPR and data compliance requirements in a commercial CRM context.
